The Role
Reporting to the Business Improvement & Governance, this role provides high-level executive and strategic support to enable the CEO to operate effectively and focus on organisational priorities.
The Executive Assistant will act as a trusted partner to the CEO, coordinating stakeholders, preparing high-quality materials for executive decision-making, and ensuring effective management of time, communication and deliverables. The role plays a critical part in maintaining focus on strategic priorities while supporting day-to-day operational flow.
Key Responsibilities
- Executive & Strategic Support
- Provide high-level executive support to the CEO, ensuring alignment to key business priorities.
- Manage a complex and dynamic calendar, proactively prioritising commitments and resolving scheduling conflicts.
- Coordinate preparation for executive meetings, including agendas, briefing packs, presentations and follow-up actions.
- Partner with multiple internal and external stakeholders to develop high-quality, accurate and well-presented executive-level presentations and reports.
- Synthesize inputs across teams into clear, concise and decision-ready materials delivered within tight timeframes.
- Manage and triage the CEO’s inbox, applying sound judgement to prioritise correspondence, escalate critical matters and maintain effective information flow.
- Anticipate upcoming priorities and proactively prepare materials to support forward planning.
- Meeting, Travel & Logistics Coordination
- Coordinate internal and external meetings ensuring effective planning and smooth delivery.
- Prepare and distribute agendas, briefing materials and supporting documentation as required.
- Coordinate domestic and international travel, preparing detailed itineraries and briefing materials.
- Respond quickly to changes and manage last-minute adjustments with agility and professionalism.
- Stakeholder & Communication Management
- Build strong relationships across the organisation and with external partners.
- Facilitate communication between departments to ensure alignment and timely delivery.
- Support internal communications and change initiatives as required.
- Handle confidential and sensitive information with discretion.
