Job Description

The Role

Reporting to the Business Improvement & Governance, this role provides high-level executive and strategic support to enable the CEO to operate effectively and focus on organisational priorities.

The Executive Assistant will act as a trusted partner to the CEO, coordinating stakeholders, preparing high-quality materials for executive decision-making, and ensuring effective management of time, communication and deliverables. The role plays a critical part in maintaining focus on strategic priorities while supporting day-to-day operational flow.
 

Key Responsibilities

  1. Executive & Strategic Support
  • Provide high-level executive support to the CEO, ensuring alignment to key business priorities.
  • Manage a complex and dynamic calendar, proactively prioritising commitments and resolving scheduling conflicts.
  • Coordinate preparation for executive meetings, including agendas, briefing packs, presentations and follow-up actions.
  • Partner with multiple internal and external stakeholders to develop high-quality, accurate and well-presented executive-level presentations and reports.
  • Synthesize inputs across teams into clear, concise and decision-ready materials delivered within tight timeframes.
  • Manage and triage the CEO’s inbox, applying sound judgement to prioritise correspondence, escalate critical matters and maintain effective information flow.
  • Anticipate upcoming priorities and proactively prepare materials to support forward planning.
  1. Meeting, Travel & Logistics Coordination
  • Coordinate internal and external meetings ensuring effective planning and smooth delivery.
  • Prepare and distribute agendas, briefing materials and supporting documentation as required.
  • Coordinate domestic and international travel, preparing detailed itineraries and briefing materials.
  • Respond quickly to changes and manage last-minute adjustments with agility and professionalism.
  1. Stakeholder & Communication Management
  • Build strong relationships across the organisation and with external partners.
  • Facilitate communication between departments to ensure alignment and timely delivery.
  • Support internal communications and change initiatives as required.
  • Handle confidential and sensitive information with discretion.

Desired Skills and Experience

Selection Criteria

  • Demonstrated experience (3–5+ years) supporting C-suite executives in a complex and fast-paced environment.
  • Proven ability to prepare executive-level reporting, Board-quality presentations and briefing materials.
  • Exceptional organisational and prioritisation skills, with the ability to manage competing deadlines.
  • Strong judgement, discretion and professional maturity in handling sensitive information.
  • High level of attention to detail and analytical capability.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite, particularly PowerPoint and Excel.
  • A tertiary qualification in a relevant discipline is preferred; however, equivalent professional experience will be highly regarded.
